Timetable Tightrope: Balancing Student Needs and Practical Realities
A recent panel discussion at Erasmus University Rotterdam brought to light the intricate challenges of crafting student timetables that effectively cater to the needs of students, staff, and institutions. Representatives from various educational institutions shared their experiences, illustrating the persistent quest for a harmonious balance between student-centricity and operational limitations.
The Quest for Student-Centricity
The panellists acknowledged the widespread aspiration to create student-focused timetables, while also acknowledging the inherent complexities. Wouter Voss from Thomas More University articulated this tension, noting that while student-centricity is a key goal, "in the end, planning a student-oriented timetable is still about striking a balance between all the different constraints." Factors such as staff availability, limited room capacities, and budget restrictions often necessitate compromises that may not align perfectly with ideal student schedules.
Fred Jonker from Wageningen University & Research provided a concrete example of this balancing act, observing that while their institution aims to be student-oriented, they also offer classes until 7 pm to maximise resource utilisation. This practice, though beneficial from an operational standpoint, might not resonate with all students who prefer earlier finishes to their academic days.
Despite these challenges, the panellists highlighted positive steps towards student-centricity. Institutions are increasingly incorporating flexible curriculum structures, offering students greater choice in crafting their individual study programs. This adaptability aims to accommodate diverse student needs and learning styles.
How Curriculum and Scheduling Must Interplay
A recurring theme in the discussion was the importance of aligning curriculum design with scheduling realities. Fred Jonker highlighted how Wageningen University & Research proactively integrates scheduling parameters into its curriculum. By pre-assigning courses to designated morning or afternoon slots, they streamline the scheduling process and ensure that students can seamlessly combine courses without encountering timetable clashes. This approach eliminates the need for complex adjustments later on and provides students with greater clarity and predictability when planning their studies.
Wouter Voss emphasised the value of early and continuous collaboration between curriculum developers and timetable planners. He stressed that involving planners from the outset allows them to provide valuable input on course structuring, flag potential scheduling conflicts, and advocate for solutions that accommodate both student needs and logistical constraints. Voss shared his personal experience, noting that in his own programme, "as soon as they involve me... a number of things can be adjusted, things can be made more feasible in advance." This proactive approach prevents curricula from being finalised without considering the practicalities of scheduling, avoiding potential headaches and disruptions further down the line.
Getting Meaningful Feedback
The panellists also addressed the critical need for robust feedback mechanisms to assess the effectiveness of timetabling practices and drive continuous improvement. Wouter Voss candidly expressed his frustration with the lack of structured feedback mechanisms, stating, "In my case, outside the exam period, I don't get any feedback on the timetable I've created during a semester." He proposed implementing simple yet effective feedback tools, such as a "thumbs up, thumbs down" system, to gauge student satisfaction with specific scheduling decisions.
However, gathering and interpreting feedback presents its own set of challenges. Fred Jonker highlighted the difficulty of distinguishing individual preferences from broader trends. He pointed out that feedback often reflects the specific concerns of individual students or teachers, which may not always align with the collective good. Distilling meaningful insights from a diverse range of opinions requires careful analysis and a focus on identifying patterns that benefit the majority.
Room Utilisation Still a Dominant Factor
In a revealing moment, the panellists were asked to choose between having comprehensive data on room utilisation or receiving direct student feedback on timetables. Unanimously, they prioritised room utilisation data, underscoring the increasing pressure on institutions to optimise resource usage, particularly in the face of rising costs and budgetary constraints.
While acknowledging the significance of student satisfaction, the panel acknowledged the harsh reality that efficient use of space often takes precedence in resource allocation decisions. Wouter Voss offered a nuanced perspective, stating, "Of course, that space usage... we simply need a space usage to unlock space usage. We need that. Some campuses are under a lot of pressure. Others are quite spacious. We have various ones." This pragmatic view reflects the need to juggle competing priorities while striving to make the best use of available resources.
The Erasmus University Rotterdam panel discussion provided a valuable glimpse into the complexities of balancing student needs with the practicalities of scheduling in a modern educational setting. While the pursuit of truly student-centric timetables remains an ongoing challenge, the conversation highlighted the importance of early planning, collaboration, data-driven decision-making, and a willingness to adapt and improve based on feedback. As institutions continue to navigate these complexities, finding innovative ways to optimise resource utilisation and enhance the student experience will remain paramount.

At TE Con 2023, BI Norwegian Business School showcased their transformative journey with TimeEdit, moving from fragmented, manual processes to a unified, automated system.
In a compelling presentation Mai Hermansen detailed BI's shift from isolated planning and manual processes to a centralized and automated system. 3 main topics:
1. From legacy system to Integrated Solutions
BI's narrative is one of innovation and forward-thinking. Not long ago, BI faced the challenges of siloed operations, an abundance of Excel sheets, and a lack of systemic support which led to inefficiencies and a strenuous workload on staff. As an institution with four campuses across Norway and a vast array of courses, the need for a robust and scalable solution was evident.

Who is Linn Treutiger?
I consider myself to be a warm person with a big smile. I always keep my (sometimes too loud) laughter close by and I live by the conviction that energy breeds energy, therefore I make sure to share my own.
I have a business background and have had the opportunity to work within both consulting, controlling and business development. Prior to joining TimeEdit I worked at Adfenix, a Gothenburg based tech start-up. At Adfenix my responsibilities were, among others, to bridge the gap between the customers and the company as well as support the product team with market insights and analysis. In order to truly understand a customer's pain points I believe a high market presence is key.
What excited you about TimeEdit and this opportunity?
TimeEdit has a unique combination of extensive experience and high ambitions. Retaining customers with high satisfaction rate and ambitious scale-up plans is likely the perfect recipe for success. On a personal level I am super excited about my new role as a product owner and I hope my experience from working closely in the market will contribute with some new perspectives.

TE Preferences. The product is only in its early stages and is already solving some major bottlenecks for our customers. The innovation speed is thrilling and with the new integration in TE Core I believe the sky is the limit for this product.

What are you looking forward to the most?
To meet people. I can’t wait for the corona pandemic to be over so I can meet all our customers in person. Also, I am really looking forward to work face to face with my new colleagues, to visit our remote team in Vietnam and last but not least to attend the famous TE Summit next spring.

Tell us a bit about yourself Andreas, who are you?
I've done it all: everything from paper boy to care assistant, but I have always had the aim of becoming a programmer. I have studied programming and product development at the University of Skövde. I always had the goal of working as a programmer and then saw that TimeEdit was looking for developers, the rest is history. When I'm not working, I spend my time with my two children, being out on the track and running, or tinkering with my cars in the garage.
What's your role at TimeEdit?
My role at TimeEdit is to continue develop the company's products, mainly with the focus on TE Core, as well as the integration between TE Core and the new exciting products, TE Preferences and TE Exam.
You have been with the team for almost a month now, talk us through it
At the time of writing, I have been at the company for almost a month and am beginning to form an idea of how complex the scheduling process really is, but also what an important role TimeEdit plays in simplifying it. I look forward to working with the rollout of TE Preferences and TE Exam, and seeing how these products will further make everyday life easier for our customers.

Tell us a bit about yourself
Maria: I was born and raised in Sweden and right now I live outside of Gothenburg with my family (husband and three kids). I have lived in the Netherlands for 12 years and my surname I have gotten from my Dutch husband. Before TimeEdit I worked at AB Volvo and I have a background in IT. I have held positions in Project Management, Service Management and the last 10 years I have been a manager for different IT departments.
A common denominator of my past jobs has been that it is usually about change and setting a strategy how to move forward. This is something I saw in TimeEdit as well and the open culture spoke to me. The journey TimeEdit is on appealed to me and another thing that I really like about TimeEdit is that I can combine my Swedish and Dutch knowledge, something that I really enjoy.
Josefine: I'm a 31 year old multitasker who has worked within scheduling and resource management for almost ten years now. My latest experience is from the air traffic control center in Gothenburg as a Resource Manager. When I'm not working, I like to dance (mostly bachata, but if I hear music I can't be still), be outdoors, go to the gym, play padel, travel and plan fun activities with my friends and my five year old son!
What's your role at TimeEdit?
Maria: I work as a Project Manager at TimeEdit for our Implementation Projects, I am a part of the Customer Success team. I will work side by side with our implementation managers making sure we deliver our projects with quality to our customers and in time. Right now I have the privilege to run three projects in the Netherlands and one project in Belgium.
Josefine: I'll be a part of the Customer Success team as Implementation Manager, meaning I'll onboard new customers in the system in the best possible way! I'm sure my experience as a scheduler will come in in handy in order to understand the needs of the customer and how wo translate it to the ways of working in TE.
You have both been here for some time now, what's been your impression of TimeEdit so far?
Maria: I have now been at TimeEdit for 2,5 months and I feel like a part of the team. First of all the onboarding has been great, so professional! Second of all TimeEdit has at once made me feel that I can contribute and given me challenges to work on, this is something I like. The open culture and the empowerment is something I really enjoy at TimeEdit.
Josefine: When it comes down to work, what matters to me is the company's values, goals and the culture. That is something that made TimeEdit stand out from day one. I'm humble to be part of such an ambitious and driven team and I'm looking forward to be a part of it!

Q: What motivated you to join the TimeEdit team?
A: I’m really passionate about the why, TimeEdit is on a mission to make it significantly better for a lot of people. That is obviously motivating. The team also really impressed me; I love the stong company culture and I wanted to be a part of that.
Q: Tell us a bit about yourself?
A: Currently my life is about balancing work with family life, having two small kids at home, sometimes giving me the feeling I have two jobs.. Born and raised just outside of Gothenburg, I now live within walking distance from the Gothenburg office. From a professional background I have tried most corporate settings, starting out as a Strategy Consultant, being part of two companies in the very early stage as well as transforming a business area at a large public agency.
Q: What exactly is the role of a VP of product at TE?
A: My main focus is oversee and develop how we work with our product development, making sure we efficiently deliver product that create high customer value. An important part of that is also building and steering our product organization as well as aligning it with engineering - true collaboration between product and engineering is the key recipe for building outstanding products.
Q: You've been with a company for more than a month already, what's your impression so far?
A: TimeEdit is on a growth journey to become a global leader in the industry, which is very much reflected in the feeling and culture. Everyone is onboard and believes in the ambitious plans we have, and that creates tons of positive energy. I came for the ride and I enjoy it a lot!
World premiere: TE Exam for invigilators
Today, Chalmers University of Technology introduced the dedicated TE Exam invigilator interface, including the ability to accept exam requests and set availability digitally. A process that previously was carried out through email, paper and phone calls are now managed swiftly and more accessible for everyone. Chalmers is currently implementing TE Exam across their two campuses at Johanneberg and Lindholmen, where invigilator management play a key role. More than accepting requests, TE Exam allows invigilators to communicate with each other as well as exam admins, and find all relevant exam information in one place.

Welcome Steinar Morland, our new VP of Business Development!
Steinar joins TimeEdit as the company’s first Norwegian employee, thus marking the beginning of a local presence in Norway. While Steinar will be based in Trondheim, he will be overlooking TimeEdit’s commercial activities globally and be a natural part of TimeEdit’s management group. We are thrilled to have him on board, and will let him introduce himself below.
First off, what kind of a guy are you?
I have gotten feedback previously, stating I’m “a quite nice guy”, and I think that pretty much covers it. I guess I’m somewhat of a globetrotter and a music enthusiast (being a massive fan of Håkan Hellström was part of my decision to join a Gothenburg company), and I spend most my afternoons trying to cook decent food for my slightly picky wife. Professionally, I’ve got a MSc in Industrial Engineering, having worked as a business developer in multiple tech companies - and I think many will know me from my recent 5.5 years in MazeMap.
Why TimeEdit?
Having worked with TimeEdit from the sideline as a partner for many years, I’ve been impressed, to say the least, what these folks have managed to achieve in product development on a very short timeframe, with limited resources. Take that ability and combine it with what I see as a strong need in the higher ed sector for new/improved tools in resource management, I feel that TimeEdit is my number one horse to bet on to solve the coming market needs. And I want to be part of that journey.
So what can our customers expect of you in your new role?
I’m a business developer through and through. That, to me, means being able to listen, understand and transform customer’s needs and wants into something that can fly, both from a commercial and technical perspective. Naturally, this is a responsibility of the company as a whole, but I see the “listen” part as being particularly relevant to my part of the organisation. I hope to be a VP of BizDev that sees and listens to our clients, as they are the very foundation of what we do.
What are you looking forward to the most?
TE Summit. TE Summit. TE Summit. Ask anyone in MazeMap what my favourite conference of the year was (and I did a lot of conferences throughout the year in my previous role) - and everyone will know it was TE Summit. Hands down, the general atmosphere is unparalleled. Seeing how much of a community feeling there is amongst the clients, being awake at 3am still seeing half of the conference still awake playing ping pong or similar - absolutely fantastic. Having that type of meeting place to discuss and evolve the product through client interaction is a privilege.

What have you done previously to TimeEdit?
I spent the past 5 years building a real estate tech startup NYC. It started as a scrappy business out of my own apartment, and we grew it into a great business with thousands of renters across New York City, Jersey City, and Boston. Today it’s the largest co-living company by number of locations in the United States.
What excites you about the company and this opportunity?
I wake up every day excited to build things from the ground up. I love being in the trenches and figuring out how to scale a new business, team, and customer base. TimeEdit presents an irresistible opportunity to bring a product that’s been a slam-dunk success in Europe over to a new largely untapped market.
What excites you about TimeEdit?
I find it extremely exciting that TimeEdit is already widely used by a loyal customer base. The fact that a customer has never voluntarily churned or left the product is incredible, especially given how long the company has been operating.
Product-market fit is something companies generally struggle at great lengths to get right, yet TimeEdit has hit this nail on its head. You know you’re onto something when you see delight in a customer’s eye when showing them the product - something I’ve had the pleasure of experiencing a handful of times so far. US schools and universities truly need a better scheduling solution, and from what I’ve seen so far TimeEdit blows all the other options out of the water. I’m excited (and honored) to take the reins in the US and replicate the model in a new country.
What are you most looking forward to right now?
Many things, but the top items I’m looking forward to right now: #1 getting TimeEdit in the hands of universities in the United States. #2 meeting more existing customers face-to-face at the TE Summit, and #3 cultivating a team in the US who share the excitement and enthusiasm that’s already been built in Europe. Lastly (and perhaps most importantly) revamping my wardrobe with a handful of TimeEdit shirts!

WUR Breaks All Records with a Lightning Fast TimeEdit Installation
Intro
Wageningen University & Research (WUR) wanted to replace their old scheduling software and started a tender procedure to replace that system. TimeEdit won this tender and had to implement the scheduling system within 6 weeks from contract signature - right in the middle of the worst COVID-19 restrictions.
The challenge
The implementation commenced in mid April - a point at which the university was still closed and staff was working from home due to COVID restrictions, so face-to-face meetings could not take place. In addition to this, the new scheduling system had to replace the old system within June to commence scheduling for the 2020/2021 academic year.
Solution
The implementation took place complete remote. TimeEdit’s standard implementation methodology was changed to make it suitable for a completely online version. Instead of longer physical meetings to discuss needs for each element of the configuration, many shorter sessions were organised to ensure short feedback loops and smaller iterative build-ups of the configuration. This way, the Customer Success Team of TimeEdit was able to set up the Wageningen data model and scheduling framework very rapidly. It helped the installation speed immensely that WUR decided to stick with the same data structure and scheduling rules as they had used before, having very clear visions of the output and outcome of the configuration.

Training was done online in multiple shorter sessions divided over several days instead of the usual longer training workshops, as it would be more tiresome and difficult to follow longer sessions online than with physical attendance. This also ensured that the staff could get more hands on experience between sessions, learning the software piece by piece. Each session was recorded, making it easy to look back and repeat a particular session - which has proved handy even after the training period concluded.
The results
The kick-off of the implementation was mid-April and the Go-Live date was at the start of June. Within six weeks, the timetabling team could start scheduling the first period of the new academic year. Looking at the size of the university, this was a speed record for TimeEdit. The WUR Timetable team was able to schedule the coming academic period faster and more user friendly than before, and see the new solution as a huge upgrade with regards to user experience and performance.

The publication and integrations were live mid-July. The integration with the WUR integration layer was based on the existing fields so minimal changes were required. The most impactful change was the move from week/ year based structure to a continuous database set-up, which implied a few changes to the logic, but makes the maintenance of the integration less painful. The integration with their Student Information System OSIRIS will be done in a next phase once the covid crisis cools down a bit.
WUR's top tips and tricks for a fast implementation
- Share clear scheduling processes already during the market consultation phase
- Check with providers if a fast implementation is possible - and make them commit to it in the contract
- Mention short timeline in tender documentation to set expectations to all stakeholders
- Work with a small and agile implementation team that includes key resources from the timetabling team, technical integration team and a project manager
- Have clear opinions of what you want before you start the implementation
- Record all trainings so you can revisit key aspects easily afterwards.
- Organise frequent short Q & A sessions after implementation is done to ensure efficient and smart use of the system

TimeEdit expands support hours during COVID-19 readjustments
As a consequence of the COVID-19 outbreak and subsequent restrictions enforced by pan-European health authorities, many of our clients are adjusting their activities to distance learning and digital teaching activities. As a result of this, there is an increased pressure on the scheduling departments to find good solutions to the difficult situation. This means an increased number of incoming requests to our support desk - to which we are happy to assist.
In order to help our clients through these demanding days of readjustments in a timely manner, TimeEdit has decided to extend our support hours. We will be open for any incoming requests from 08:00 in the morning until 21:00 in the evening effective from 16th of March until 3rd of April.

ULB: meeting the needs of a changing higher education landscape
Context and expectations
The growth and challenges created new realities for the university to consider. They highlighted the importance of timetabling and space management to run the university properly: to maintain high standards and offer the students and staff quality services, but also have the capability to make informed decisions.
In this context, attention was focused on some key points:
- Involvement of all timetablers (some 80 people) and all the resources of 13 faculties in one single environment
- Unifying the timetabling and room allocation procedures on every campus
- Consideration of the specific faculty and campus constraints, but also adaptation to a single centralised process
- Set up of procedures to maximise the use of the rooms (which are managed centrally) in a very tight context for space management
- Identifying the needs regarding the teaching spaces in a long-term perspective
- Providing all the students and lecturers an easy way of accessing their timetables and get individual schedules and flexible solution
Given this situation, the ULB needed to be ready and better equipped for its current and future needs. Furthermore, as the energy devoted to timetabling (creation, changes) and room allocation increased every year, a user-friendly and effective resource management, scheduling and publishing solution was essential for the ULB as she could not depend on on-premises undersized solutions anymore. A call for tender was launched in 2020 to get an overview of the existing timetabling solutions with different aims in mind, and more importantly:
1. Reliability: users needed a solution with more control on data, enabling easy and quick checks, making it possible to rely on data to ensure better decision-making
2. Accessibility: it had to be available everywhere and any time with minimal service disruption (especially for the publishing solution)
3. Quality and effectiveness: it was necessary to accelerate the processes (e.g., to react quickly in case of last-minute changes, to visualise room timetables) and make schedules more flexible
The Implementation
We had a talk with Amélie Théry, Head of the Timetabling Coordination and Teaching Spaces Team at ULB, about the implementation and the first few months with TimeEdit. She talks about the tender and implementation process:
“The results of the tender procedure were very clear: TimeEdit was the best fit for ULB. When the implementation started in February 2021 we had a very specific and aspirational goal: getting the timetabling and publishing solutions ready to welcome all the reservations for the academic year 2021-2022. This basically meant that TE Core, the timetabling system, had to be fully configured before April 2021 to launch the training sessions of all the timetablers and room managers.”

“Needless to mention, this period was quite intense, especially under COVID times involving continuous changes in the on-going academic year. Such an ambitious project with such a short deadline has of course definitely been a challenge. Nevertheless, the project definition was clear from the beginning with a very effective structure provided by the TimeEdit implementation manager. Time/project management indicators were both clear and realistic, and of course aligned with the ULB’s needs and the short timeframe.”
Key results
Considering the high stakes and the size of the change for the university, failure or delay were definitely not options for the launch. The project was considered a huge success as all the deadlines were observed and the feedback made the project management team and the ULB’s authorities optimistic about the launch and the now regular use of TimeEdit. Amélie explains:

What is Field relations?
Field relations allows you to connect two fields between objects in a logical manner to achieve a valuable end result. As an example, valuable connections might be: “Number of planned students” field in the student group object needs to be smaller than the “Number of seats” field in a room object or Teacher object that is marked with “Wheelchair accessibility” need needs to only be scheduled in a room that is marked as an “Accessible” room. This can be combined with other dependencies: If you are booking a room for a Lecture, the field relations are between the normal seating capacity of the room and the planned number of students. If you are booking for an event and have a different seating capacity for events, the field relations would be between the planned number of students and the event seating capacity.
What value does this bring?
Field relations allows you to build more granular and robust rules for relationships between objects based on different scenarios and situations, meaning that you save significant time finding the right objects to connect as well as getting a better user experience. When used for rooming, it will greatly speed up the process of allocating the right room for the right situation considering all dependencies for room allocation + ensure better room utilisation because the rooms allocated would always be the best match given the situation.

Martin Tukker represented Utrecht University as their feature request Field Relations was awarded as one of the three best feature request the past year. The field relation feature enable universities to create relations between any fields of any objects, allowing for smoother auto object allocation and drastically ease the administration of relations.

Feature: Change objects in TE Viewer
Represented by Anna Norlöv and Emma Gerönberg, Lund University received the award for the Swedish user group for the awesome feature "Change objects in TE Viewer". The feature allows users to change objects directly in a published draft or live timetable, meaning that teachers can change teachers on reservations or making room or equipment requests - straight from TE Viewer. In other words, no more emailing back and forth on simple change requests.

🏆 Swedish University of Agricultural Sciences
Feature: Collaboration in TE Preferences
Oliver and his team at Swedish University of Agricultural Sciences have been pivotal for the development of TE Preferences, and was awarded for the feature set "Collaboration in TE Preferences" which, as the name entails, allow for multiple users to collaboratie on a TE Prefernces form. In essence, this means that a form can be allocated to multiple teachers or course coordinators who can fill out different information relevant for the course.

Tell us a bit about yourself
Elin: From the very beginning, I'm actually a paralegal, but I quickly got on the project management track and on that path it has continued. Before I started at TimeEdit, I worked as an Implementation Specialist at Adway, which is a Gothenburg-based HR-Tech start-up, and before that I was Team Leader in the project department for digital HR tools at Tholin & Larsson. When I'm not working, you find me either in the gym, in front of a good TV series or among friends. Food is also a big interest (and the reason why I exercise…) and right now I am in a period where I cook a lot of Thai food.
Peter: I'm an outgoing and happy person who makes stuff happen. A positive problem solver that always looks to improve work flows and develop new ways to get more efficient. Before coming here, I was a schedule manager and object specialist for TE Core and TE Viewer at Chalmers University of Technology. Prior to that, I worked at Trigono AB in Lund as responsible for Backoffice and Marketing.
What's your role at TimeEdit?
Elin: In my new role as Customer Success Manager at TimeEdit, I will, together with our fantastically talented team, ensure that our customers get the best possible experience of our products.
Peter: Part of the CS team as Customer Success Manager. To ensure that our customers get a good experience of TimeEdit's products. Having worked with the TimeEdit Core/Java and TimeEdit Viewer for six years as a user, I am thrilled to be able to share my knowledge and thinking to improve the products. The company has a great atmosphere and energy, so I can see myself develop as a co-worker and having fun at the same time.
You have been with the team for a week now, what's your first impression?
Elin: I came to TimeEdit with high expectations and so far they have not only been met, but also exceeded. I look forward to getting to know my colleagues even better and of course learning a lot more about our products and working methods.
Peter: It's exciting to get acquainted with TE Preferences, which is an important complement to other products. Sees that the tool can make it easier for customers. It will be exciting to be able to contribute with my experience from the user side and provide input to product development.

Stockholm University: how to to increase room utilisation through decentralised resource management at scale
The Big Shift
So what are the main developments since SU started using TimeEdit some 20 years ago? At that time, TE was purchased to meet a specific need for a room booking tool, without a real holistic approach to scheduling or resource management. The shift to an holistic approach was made around 2016, when the decision was made to start using TE as the scheduling and resource management tool for the whole university. An evaluation revealed that a lot of the room bookings were not realised, and as a result of this the cost was unnecessarily high. This was an important step to increase efficiency in resource management and maximise the usage of the rooms available, and at the same time manage the scheduling process in a unified way.
What effect has the holistic approach to resource management had?
Nowadays, while the Property Management Office is centralised, the approximately 200 schedulers are based out of the institutions. So how does the resource management work in practice with this mix of centralised and decentralised set up? Carlos tells us:
“Most rooms are centrally managed from the Property Management Office, and for those we have release dates when all institutions are free to book the rooms at an hourly rate. When the clock strikes, there is quite the frenzy for the most popular rooms and time slots. There are also some rooms that are wholly rented by each institution, meaning that they pay a monthly fee independently of usage. These room bookings are nevertheless also booked via TE.”
Benefits of the shift
So what would Carlos say are the biggest benefits of using TimeEdit this way? “It is in three words efficient, transparent and uniform. All the institutions use the same system and are charged according to usage. We can clearly see that the rooms are more efficiently used when you pay by the hour and according to room size compared to the rooms “owned” by each institution. Usage of the centrally managed rooms is somewhere around 60-65% in office hours, meanwhile the institution managed ones have a corresponding rate of 50% at best. ” He continues: “We can also see big benefits with everyone having a clear overview of what resources are available and which bookings a certain institution has. As the hourly rate of each room varies according to the number of seats, we see that the institutions are aware of this and do not book unnecessarily big rooms. We also see that the staff like being closer to the actual scheduling, and this approach also makes the scheduling more student centric. New areas of use also come up all the time, for instance we are now also using TE for booking exhibition hosts for our art gallery.”
“Add to this the benefits of all students being able to book smaller group rooms themselves TE Viewer. This is an easy way for the students to know availability and book according to their own needs and of course takes away a lot of administration.”

Next steps
So what does Stockholm University see as the next steps for becoming even more efficient in the future? Carlos tells us: “We see great opportunities for improving our daily business even further. We might be looking into using real time occupancy data from wifi/sensors for better decision making, and we are very much looking forward to functionality being built into TE Exam to be able to invoice exam-related services straight from the system. Further into the future, we are discussing centralising the scheduling process through the establishment of a central scheduling organisation for the whole university. By doing this, we believe that we will get more value from our TE system and use it more efficiently - as well as making it easier to optimise the spaces and resources we have at the university.”

TimeEdit is currently on the brink of several major feature and product launches, so we added a seasoned VP of Product to our team to help us ensure that our new product solutions solve our customers’ pain points and are well-communicated internally and externally. Natalia Lindberg joined our team in January as our VP of Product and has been working diligently ever since to set our plans for new features into motion.
Natalia is a seasoned product manager, with experience from Ericsson, Stena Line and most recently as VP of Product at Adfenix. She is already an essential part of our team who brings a fresh perspective and positive attitude everyday (seriously, we’ve never seen her lose her cool). Together with the product team, she'll be the voice of our new product launches, so we want to introduce her to you with a getting-to-know you Q&A!
What excited you about TimeEdit and this opportunity?
TimeEdit and I hold the same value – I genuinely believe the way forward is through education. TimeEdit has the ambitioin and skill to make education more efficient and easier for all, and I get excited by a mission that has a profound meaning in this world. Aslo, the ambitious scalup atmosphere was also really appealing to me.
What is your favourite feature of TimeEdit and why?
I don’t have a single favourite feature. I really like the fact that TimeEdit is designed to help our customers towards higher resource utilization, student success and improved staff satisfaction. Everything we do is geared towards helping our customers achieve those goals, and it is that end-to-end process that really excites me. Even though I think our new batch edit feature is pretty rad.

SLU goes for TimeEdit
The implementation of TE Suite will cover the full process from planning, scheduling, room allocation, exam management and analytics. The switch to TimeEdit came as result of a decision to modernize the administration and make better use of the universities resources.
The university is currently in the process of implementing TE Exam for their exam management. As a part of the implementation, the university centralizes the exam management process. Through TE Exam, the course coordinator will order exams directly through the application and the central exam office will schedule rooms and invigilators to the exam, as well as managing special needs and student seat allocation. Invigilitors are scheduled based on the availability they have submitted in advance, and the invigilators are notified when they are booked to an exam. Through the invigilator interface in TE Exam she can confirm and see all relevant information about the exam.
SLU will also implement the new tool for collecting schedule data throughout the organization. Instead of submitting course preferences and class sequences through excel, word or email, professors and course coordintors will use TE Preferences which structure the data directly in the scheduler's scheduling tool, TE Core.

Say hi to our newest TE-family member, TU/e!
University of Technology Eindhoven, TU/e, has chosen TimeEdit for their end-to-end scheduling needs, from preference collection (TE Preferences) to course and exam (TE Core & TE Exam) scheduling across all departments.
TU/e will go live with TE Core, TE Reserve and TE Viewer in spring 2021, and in phase two of the implementation, TU/e will embark on TE Preferences for collection of scheduling data as well as TE Exam for exam management.
Bert van Irsel, project manager at TU/e, expands on their recent acquisition:

Omix takes leap to become TimeEdit experts in the Netherlands
TimeEdit and Omix have signed a partnership agreement with the purpose of making Omix domain experts in TimeEdit's scheduling tools to fulfill the Dutch market needs for training and expertise in using TimeEdit.
Omix is the leading consultancy house for educational logistics in the Netherlands, and offers an array of services to all educational institutions, as well as their very own scheduling academy to educate aspiring schedulers to the market.
Throughout the coming months, Omix will undertake training to become certified experts in TimeEdit, and will be capable of handling any training or domain expertise needs from Dutch institutions. Omix are also implementing TimeEdit as their standard software for their scheduling academy, so that all Omix' scheduling students for the higher education segment will schedule in TimeEdit from June 2020.

Product News Q4
Our Product & Engineering teams have been hard at work over the last couple of months, fine tuning the user interfaces and last lines of code on some very exciting new features.
At TimeEdit, we're obsessed with creating a scheduling solution that seamlessly adapts to the shifting needs of schedulers, course administrators, professors, and students across the world. Though we're always trying to develop our products together with our customers, this year has seen an increased level of co-creation as we have tried to pull our weight in helping higher education institutions across the world plan around the rapidly changing lockdown situations.
The list of improvements and new features is long, but some of the things we're most excited about are:
A completely reworked Draft mode in TE Core
For schedulers, one of the most critical features for scenario planning is being able to create multiple versions of a schedule, and quickly change between the different versions before committing one to the final schedule. With our new Draft mode, a user can seamlessly create an unlimited number of drafts, with the click of a button move between the various drafts, and in the blink of an eye go back to the published version without worrying about losing data - changes to drafts are auto saved on the backend and can be retrieved at any time.

Improved control and administration in TE Viewer
As 2020 has showed us all, schedules are not static entities that can remain unchanged. Crucially then, a scheduling viewer application needs to be highly configureable and customizable to ensure that the most critical information is displayed clearly to the end-users. With our redesigned administrative interface in TE Viewer, we've made it considerably more easy for an administrator to configure the content and layout of the public schedules, to help with the communication of the schedules to all relevant parties.
Dynamic object headers in TE Core
Along the same lines of the need to easily shift around resources as the teaching situation changes, we've created a brand-new feature in TE Core that allows the user to quickly pivot the calendar to slice the calendar data based on an object filter. Statically splitting the calendar based on a set of objects is a well-known (and well-liked!) feature we've supported for a long time, and combining this with the ability to use an arbitrary filter to dynamically set your objects drastically speeds up the workflow of getting a holistic overview of the scheduling progress.

These are only some of the new features that have kept us busy during the last quarter, and there's plenty more brewing that we're looking forward to sharing with you in the coming months - stay tuned!

Tell us a bit about yourself:
I started my working life in the mortgage business at one of the larger banks in the
Netherlands. After a couple of years, I decided to switch to a software company in the
service management branch called TOPdesk as an implementation consultant. I really
loved my work there but was looking for a new adventure after 4.5 years. I ́ve lived in
Utrecht for about 12 years now and play field hockey in my spare time. I love to go
travelling and cannot wait for the world to really open up again.
What's your role at TimeEdit?
At TimeEdit I will be an implementation manager. I hope to bring some experience from
my years as an implementation consultant and can’t wait to see TimeEdit expand even
further. I am looking forward to meeting a lot of new people.
You have been with the team for well over a couple of months now, what's your first impression?
My first impression is great. I really love the vibe within the company and I am looking
forward to start implementing at customers. It is amazing to see how quickly new
developments at TimeEdit happen. New features and improvements are released
weekly.
Omix Scheduling Academy uses TimeEdit as Official Teaching System
TimeEdit and the educational logistics consultants in Omix continues to evolve their relationship as TimeEdit was implemented as the official teaching system at the Omix Scheduling Academy this spring. The academy is part of Omix' strategy to recruit and educate new people to the scheduling industry to fill an increasing demand of expertise within educational logistics. Now, the first class of students has graduated the academy learning the traits of scheduling through TimeEdit. The video below outlines both the value of the partnership as well as what the students think about the academy and learning TImeEdit.

Say Hi to Our New Business Development Manager, Robert 👋
It was about time TimeEdit opened a branch in The Netherlands - and we have done it with a boom! As our first employee in our Utrecht office, we are thrilled to have found a seasoned BDM who has been working in the higher education industry for many years and loves supporting complicated work processes with great software. His name is Robert Zeemans. We've taken a brief chat with Robert about his new role.
Tell us a bit about yourself
Robert: My name is Robert Zeemans and I am from the Netherlands. You heard that right, I am the first ‘boots on the ground’ for the Dutch office. I have a background in Facilities Management and Real Estate Management related processes. At TOPdesk (FMIS) I was responsible for sales in Benelux and Canada. At Lone Rooftop (Space Optimization & Occupancy Analytics) I was responsible for sales in Benelux and UK/I.
When I am not working I love to spend time with my family, workout in the gym, cook and travel the world (when Covid permits).
What's your role at TimeEdit?
Robert: My role at TimeEdit is Business Development Manager Benelux & UK/I. In my role I will explore opportunities and introduce TimeEdit’s products and services to the Higher Education institutes in these markets. The Benelux and UK/I may be relatively new markets for TimeEdit, but with an amazing product and a (maybe even more amazing) team of colleagues I have no doubt that we have a great time ahead of us!
You have been with the team for a week now, what's your first impression?
Robert: It’s funny how familiar it feels. I have indeed been with TimeEdit for only a week, but it feels as if I have been with the company for at least a month. Everyone I have met is really nice and helpful, and that may be the exact reason why it’s so easy to fit in. Getting to know the product is a bit more challenging. I never knew scheduling services and resource management were this extensive! There’s a lot more to learn still, but with this team that should not be a problem.

Matt Dalton joins TimeEdit as UK Commercial Director
Welcome to the team! First question: what made you join TimeEdit?
It wasn’t just one thing. Personally, company culture is everything to me - from the outset I could tell that it was a great match for what I was looking for. Secondly, the clear mission and fantastic product set. With such a strong presence in multiple markets, it was clear there is a clear opportunity within the UK to assist the Higher Education sector in transforming their scheduling in the coming years and I wanted to lead that growth.
What's your role at TimeEdit?
I will be the Commercial Director at TimeEdit in the UK. I’m hugely looking forward to building a large network of TimeEdit customers in the region.
So tell us a bit about yourself
I graduated with a degree in Marketing and Advertising and spent the first half of my career working in advertising agencies and then made the move client side heading up the marketing efforts of Cooper MINI within the UK. I transitioned to online education and EdTech around 10 years ago and haven’t looked back. I live just outside York with my wife and four year old daughter. I have a passion for road cycling, F1 and a good movie!

Definitely tea, and definitely milk last. Potentially controversial.
You have been here for a couple of weeks, what are your first impressions of TimeEdit?
The thing that has struck me is the energy, openness and passion of the team. Everyone has been generous with their time in supporting me and the company culture is perfect. The product is also phenomenal! I can’t wait to start demonstrating it to new partners in the coming months. I look forward to adding value and becoming an integral part of the team.
Lund University extends with TimeEdit
By the tender, Lund University prolongs its partnership with TimeEdit for another five years. The university was founded in 1666 and is, with a grand total of more than 40 000 students, on of the largest universities in Scandinavia. One of the main charasterstics of LU is their very decentralisatized way of working. Scheduling is tailored to fit for each and every institution, while allowing for sharing of resources between departments and central allocation of centrally owned resources.
We look forward to continue develop best schedule practices in a variety of academic settings together with Lund University for many years to come.

Tell us a bit about yourself: I was born and raised in the Netherlands. In december 2017 I moved to Gothenburg to finally live together with my Swedish wife, after having travelled back and forth between the Netherlands and Sweden for several years. I have a background in Facility and Real Estate Management. When moving to Sweden I started working for Planon (Real Estate and Facilities Management software) for whom I have built up their business in the Nordics, with an office in Gothenburg. In my free time I like to be outside, cycling, hiking, sailing, working in the garden, etc.
What's your role at TimeEdit? I will be leading the Customer Success department at TimeEdit. My team has been taking very good care of our customers during the years. Now that TimeEdit is growing so rapidly we want to remain having the most satisfied customers in the market. At the same time we want to professionalise our services delivery and scale up our team to support our customers all over the world. That is a challenge that me and my team are ready to tackle!
You have been with the team for a week now, what's your first impression? I am impressed with TimeEdit’s company culture. There is so much positive energy, smart people and willingness to help. It is truly a customer centric organisation. My first week has flown by, it feels like I have been part of the TImeEdit family for ages, I could not have wished for a warmer welcome. I am certain that this company has a very successful future ahead and I am very proud to be part of the team!
Global Business School INSEAD adopts TimeEdit in a drive towards digitalization
As a result, INSEAD successfully deployed TimeEdit as part of a multi-year strategy to digitalize education delivery and operations across its 4 global locations. This has enabled them to move forward in the orchestrated scheduling of resources, people and services. As a part of this, they also manage the scheduling of new virtual and hybrid facilities which has seen significant growth and required much flexibility since the onset of the Covid crisis.

1. It’s too difficult to collect data from academics
